Privacy Policy

EVolve is operated by AskEV LLC, an Illinois limited liability company. This policy explains what EVolve stores about you, why, how long it is kept, and how to have it deleted. It is written to be read by the people whose ideas are in it, not only by lawyers.
Who controls your information
If you are using EVolve because your employer signed up, your employer decides what happens to your information. They are the controller; AskEV is the processor acting on their instructions. That matters in a specific way: your employer's administrators can see the ideas you submit, your name against them, and the reports built from them. EVolve is not an anonymous suggestion box, and you should assume anything you write will be read by your management.
What we store
- Your account: name, work email address, department, role, and the times you logged in. We never store a password because EVolve does not use one.
- What you submit: the ideas you write, including the title, description and the problem you describe.
- Your AI conversations: the full transcript of any chat with the assistant that helps shape an idea, and the ROI interview that follows.
- Your votes on other people's ideas.
- Usage counts: the number of AI tokens spent, so your employer can be held to a monthly limit.
What we do not do
- We do not sell your information, and we do not share it for advertising.
- We do not use your ideas or conversations to train AI models, and our AI provider does not train on data submitted through their API.
- We do not track you across other websites, and EVolve sets no advertising cookies.
- The only cookie EVolve sets is the one that keeps you logged in. It is required for the product to function.
Who else processes it
EVolve relies on three subprocessors, each doing one job: Anthropic processes the text of your idea and conversation to generate the assistant's replies and the ROI assessment; Resend delivers your login code by email; Hostinger hosts the servers and the database. No other party receives your information.
How long it is kept
Your account and your ideas are kept for as long as your employer's EVolve account is open. Ideas have no automatic expiry, because they are the portfolio your company ranked and may have funded, and deleting them would silently restate the business case built on them.
AI conversations are deleted after 12 months. The transcript of a chat with the assistant is the most personal thing EVolve holds, and once your idea exists the transcript has served its purpose. Twelve months after a conversation was last active it is deleted automatically, whether or not anyone asks. The idea it produced, and the assessment and figures attached to that idea, are not affected.
This is enforced by a scheduled job, not by a promise to remember. If you want to know when the next deletion runs, ask us.
When a company account is closed, all of its data is deleted, including every user, idea, assessment and conversation belonging to it.
Having your information deleted
You can ask to be erased. Contact an administrator at your own company, who can do it from the Users page, or write to us at privacy@askev.tech and we will pass the request to them. Because your employer controls the account, we act on their instruction rather than deleting an employee's record on our own initiative.
When an erasure is carried out, this is exactly what happens:
- Deleted permanently: your account, your login history, your AI conversation transcripts, and your votes. These cannot be recovered.
- Kept, with your name removed: the ideas you submitted. They remain in your employer's portfolio and are shown as written by “Former employee”.
We keep the ideas because they are the business record your employer ranks and funds, and deleting them would silently change financial figures the company may have already acted on. Once your name is removed, the idea is no longer linked to you. If you believe an idea itself identifies you, say so in your request and it can be deleted outright.
Your other rights
You can ask to see what EVolve holds about you, correct it if it is wrong, or object to how it is used. Depending on where you live you may have further rights under laws such as the GDPR or state privacy statutes. Send any of these requests to your company administrator or to privacy@askev.tech.
Security
Traffic is encrypted in transit. Access to production data is limited to AskEV personnel who need it to operate the service. Login is by one-time code sent to your work email, so there is no password to be reused or leaked. We do not claim a formal certification such as SOC 2, because we do not hold one.
Children
EVolve is a workplace tool and is not intended for anyone under 16.
Changes
If this policy changes in a way that affects what we do with your information, we will update the date at the top and notify company administrators.
